Job Title: Family Support Assistant and administrator  – Reporting to  Family Support Manager

Location: TRACKS Autism - Stevenage
Job Type: Part Time – 10 hours per week.

Pay:- £13.50 per hour, term time only.  

Job Purpose:

We are looking for a highly organised and empathetic Family Support Assistant to join our team. The successful candidate will provide essential administrative support to the setting, ensuring smooth daily operations and a welcoming environment for all staff, parents, and visitors.

Key Responsibilities:

  • General Administration:
    • Answer and manage phone calls and door enquiries in a professional and welcoming manner.
    • Respond to emails and correspondences promptly, providing clear and concise information.
    • Type reports and correspondence as required, ensuring accuracy and attention to detail.
    • Order and maintain office supplies and materials.
  • Diary Management:
    • Organise and maintain the setting's diary, scheduling appointments, meetings, and activities.
  • Contractor Management:
    • Coordinate with contractors, including organising servicing engineers for regular maintenance and any necessary repairs.
  • Autism and SEND Awareness:
    • Demonstrate an understanding of Autism and Special Educational Needs and Disabilities (SEND), (Training will be given).
    • Support parents through processes such as Education, Health and Care Plans (EHCPs) (Training will be given).
  • Empathetic Parent Support:
    • Provide support to distressed or frustrated parents, demonstrating an empathetic approach while maintaining professionalism.

Skills & Experience:

  • Essential:
    • Ability to use Microsoft systems for document management and collaboration.
    • Basic understanding of SEND, including EHCPs, with the willingness to learn more.
    • Basic understanding of health-related benefits, with the opportunity for further training.
    • Strong organisational skills with the ability to manage multiple tasks and priorities.
    • Empathetic, approachable, and patient when dealing with parents and staff.
    • Good communication skills, both written and verbal.
    • Basic understanding of health and safety and safeguarding in a workplace setting.
  • Desirable:
    • Previous experience in a similar administrative role.
    • Knowledge or experience of working with children or families with Autism.
    • Familiarity with SEND processes.
